How to use the meetings feature

Starting a video meeting just got easier. Everything you need is now in one place - find it under the Messages tab.

Before you start 

Make sure you have the following ready depending on what you need:

  • Access to the Messages tab in the Web or Desktop app.
  • Microsoft or Google Calendar connected if you want to invite internal and external guests and see today's meetings synced with your calendar. To connect your account, go to Settings > My Account > Connectedservices

The Meetings landing page

The new meetings landing page brings all your video meeting options together in one place.

  1. Open the Web or Desktop app
  2. Go to the Messages tab.
  3. And then click on Meetings.

Here's what you'll find on the landing page:

Instant meeting Start a meeting right now and share the link on the spot
Create a room for later Set up a meeting room in advance, start it whenever you're ready
Your personal meeting room Your always-on personal room - one click to start
Today's meetings See all your synced meetings (Google, Teams, Zoom and more) with join links
Schedule in Google calendar Create meeting invitation via your Google calendar
Schedule in Microsoft calendar Create meeting invitation via your Microsoft calendar

Click on the tabs below to learn more about the different options you can choose from under the Meeting tab: 

Option 1 - Instant meeting

Need to jump into a call right now? Here's how:

  1. Click New meeting.
  2. Select Instant meeting.
  3. You will be taken straight into the meeting.
  4. A pop-up will appear with a link. 
    1. Share it with participants so they can join.
    2. Or add participants directly from inside the meeting.

How chat works in instant meetings:

  • A temporary chat is available as soon as the meeting starts - everyone can message right away.
  • Messages are not saved by default - think of it like a whiteboard that gets wiped when everyone leaves.

Want to keep the chat?
If at any point you decide you want to save the conversation. 

  1. Click Activate Chat History.
  2. In next step you can turn the temporarychat into a permanentroom.


From here you can: 

  • Save all messages from that pointforward.
  • Keep the conversationalive after the meeting ends.

Please note

Saved chat history is only visible to internal participants.

Option 2 - Create a room for later

Want to set up a meeting in advance? This option lets you create a room now and start it whenever you're ready - perfect if you don't have access to the Outlook plugin.

  1. Click New meeting.
  2. Select Create a room for later.
  3. Choose a Name and add Participants.
  4. When done, click Create room.
  5. Your room is created - you'll have two options from here you can: 
    1. Copy Full Details - Copy and paste the meeting information into your calendar app to schedule it manually.
    2. Start meeting - Joins the meeting immediately when you're ready.
    3. Got to room - Opens the chat room so you can share information with participants ahead of the meeting.
  6. In the chatroom you can in the right side panel go to settings, see and add members, summarizemessages and go to the meetingvideoroom directly.  

Managing Meeting Participants

During a meeting, you can manage who has permanent access to the chat room

  • Guests (participants who are not permanent room members) are clearly listed separately so you always know who's just visiting.
  • Each internalparticipant has an Add button next to their name.
  • Clicking Add will show a confirmation message: "Heads up - this gives them permanent access to the room" - so no accidental adds.
  • Permanent room members are listed separately from guests at all times.

Please note

Permanent room membership is only available for internal participants.

Option 3 - Your personal meeting room

Your Personal meeting room is always on and ready to go - just one click away whenever you need it.

Here you can:

  1. Mute your microphone before joining.
  2. Turn off your camera before joining.
  3. Set a background picture or filter before joining.
  4. Join the meeting directly on the Join button. 
  5. Configure your microphone, speaker, and camera settings before joining.
  6. Open and close the meeting for new participants.
  7. See live participants in the meeting.
  8. View and copy joining info.
  9. Schedule the meeting in your external calendar.

Your personal meeting room was previously found under PBX Services > Meetings. It has now moved to the new meetings landing page in the Messages tab.

Option 4 - Today's meetings

See all your upcoming meetings for the day in one list - including links from Google Meet, Teams, Zoom, and more. No more tab-hopping to find your join link.


To get this working:

  1. Go to Settings > My Account > Connected services
  2. Connect your Microsoft or Google account.
  3. When connected, click on your email address on the same page.
  4. Toggle Calendar on to start the sync.

The meetings list refreshes every 10 minutes. If a meeting is missing, check that calendar sync is turned on.

Option 5 - Meeting via Google or Microsoft calendar

Create meeting invitations via Google and Microsoft directly in the Web and Desktop app.

  1. Click New Meeting.
  2. Select Schedule in Google Calendar or Schedule in Microsoft Calendar.
  3. You will be redirected to your calendar where you can schedule the meeting as needed - the meetinglink will be the one generated from the app.

In-call controls & features

Once the call has started, you have access to the following options:

  1. You can expand the call widget to Fullscreen, the Right panel, or the Bottom bar. If you minimize to the Bottom bar, the video feed will be hidden.
  2. Click the Cogwheel icon to change your audio or videosettings (e.g switching to a headset).
  3. View current participants or click Add participants to invite others.
  4. Access the meeting link and details to send to external guests or customers.
  5. Use the icons to Mute microphone or Turn camera off/on.
  6. Select Backgrounds and effects to blur your room or choose a virtual background.
  7. Open the chat conversation window with your colleague without leaving the call.
  8. Simply share your screen.

Host controls

It is possible for people in the same meeting to work as a host - to add few restrictions to the meeting. These are called host controls. See below for the actual features:

Meeting access levels

One setting, four levels from least to most restrictive:

  • Anyone with the link - this is the default: external participants always wait for approval to join the meeting 

  • Anyone within the organisation - anyone within your organization can join the meeting

  • Members only - only selected members are allowed to join the meeting

  • No one (fully locked) - Locking a meeting is just setting access to "No one"

It is also possible to update this setting at room creation, in the meeting lobby and ongoing video meeting. If performed during the ongoing meeting, the new setting kicks in for new participants that are joining the meeting.

Good to know

There is no single "host" role. Anyone who's an admin of the meeting's chat room has full host capability — so control of the meeting is not stuck with one person who might not even be there. What can a host and other internal users do? See below:

  • Change settings for 'prevent participants joining before host' - host only

  • Activate chat history - host only

  • Remove participants - host only

  • Update meeting access settings before and during the meeting - host only

Other in-meeting controls and who can perform them:

  • Accept/deny attendees - available for all internal users including host

  • Mute a participant - available for all internal users including host

  • Turn off the camera for a participant - available for all internal users including host

External participants: They always go through ‘Waiting for approval’ and have to be admitted by internal participants in the meeting. This is true even when the toggle to ‘Let people join before host’ is OFF’.

Internal participants: If ‘Let people join before host’ is OFF’, internal participants see ‘Waiting for host’ message. If ‘Let people join before the host’ is ON’, then the internal participants are added into the meeting according to the meeting access setting.
